Fuel volume is distance ÷ economy (mpg) or distance × economy ÷ 100 (L/100km); cost is volume × price, then multiplied by the number of vehicles running the same trip. Real consumption shifts with load, terrain, and idling.
Fuel is the biggest running cost in most fleets
For a coach or bus operator, diesel usually dwarfs every other line on the running-cost sheet, so even a small change in economy or price has an outsized effect once it is multiplied by a full timetable of vehicles. This tool keeps the arithmetic honest: enter the distance of a route or duty, the economy you actually see in your logbooks, and the price you are paying, and it returns the cost per vehicle and the fleet total side by side.
Because it accepts both mpg and L/100km, it works whether your telematics report in metric or imperial, and it converts the distance for you so you never have to line the units up by hand.

How is the fuel cost worked out?
The calculator first works out how much fuel the trip needs. In mpg mode that is the distance in miles divided by the miles-per-gallon figure; in L/100km mode it is the distance in kilometres times the L/100km figure divided by 100. It then multiplies that volume by your fuel price to get the cost per vehicle, and by the fleet size to get the total.
Can I mix miles with L/100km, or kilometres with mpg?
Yes. The distance and economy units are independent, and the tool converts the distance into whatever unit the economy figure needs before doing the arithmetic, so a distance entered in kilometres still works with an mpg figure and vice versa.
Is mpg treated as US or imperial gallons?
The mpg mode uses US gallons and prices the fuel per US gallon. If you work in imperial gallons or in litres, use the L/100km mode with a per-litre price for a clean, consistent result.
Why scale the cost to a fleet?
A single-vehicle figure rarely tells the whole story for an operator. Running the same route across a number of coaches multiplies the fuel bill, so seeing the fleet total makes it easier to budget a scheduled service, compare a contract, or judge the payback on a more economical vehicle.
Why is my real fuel bill different from the estimate?
Published or logbook economy figures are an average. Real consumption swings with passenger load, gradients and terrain, weather, tyre pressure, air-conditioning use, and time spent idling in traffic. Treat the result as a planning baseline and compare it against your own fuel records.
